About HFSA:
The Haiti Food System Alliance (HFSA) is a locally-led coalition that supports smallholder farmers to strengthen food sovereignty and transform food systems in Haiti. With anchor funding from the W.K. Kellogg Foundation, HFSA operates across agriculture, education, healthcare, and community development. Our 14 member organizations have provided over 75,000 children with food kits, supported 40,000 farmers, sustained 1,200 jobs, and generated over $2 million in local agricultural production.
Position Summary:
HFSA is seeking a proactive and organized Program & Operations Coordinator to support the Executive Director in managing administrative functions, coordinating operational workflows, and ensuring the timely execution of programs and strategic initiatives. The ideal candidate will bring strong attention to detail, communication skills, and a collaborative mindset to help drive the Alliance’s impact.
Key Responsibilities:
Administrative Support:
- Manage the Executive Director’s calendar, coordinate meetings, and arrange travel logistics.
- Prepare briefing documents, reports, presentations, and meeting minutes.
- Schedule meetings and send timely reminders to participants.
- Assist in planning events in collaboration with the Executive Director.
Operational Coordination:
- Coordinate the day-to-day execution of HFSA programs and activities.
- Monitor project timelines, deliverables, and reporting deadlines.
- Maintain and update internal tools, databases, and trackers to ensure effective workflow.
- Develop and implement operational policies and procedures to increase organizational efficiency and impact.
- Maintain an up-to-date database of farmers, available resources, and partner organizations.
- Analyze operational data to identify trends, gaps, and areas for improvement.
- Prepare regular performance and impact reports for the Executive Director and donors.
Communications & Stakeholder Engagement:
- Facilitate effective communication between the Executive Director and HFSA members, donors, and partners.
- Assist in drafting newsletters, program updates, donor reports, and other communications materials.
Event & Meeting Logistics:
- Coordinate logistics for meetings, workshops, and events, including venue booking, participant communication, and material preparation.
- Create, assist, and develop event concepts that align with the company’s mission and vision to ensure cohesive brand representation and impactful audience engagement.
- Provide on-the-ground support for events to ensure smooth execution.
Qualifications:
Bachelor’s degree in business administration, Development Studies, Project Management, or related field.
3+ years of relevant experience in operations, program coordination, or administrative roles.
Bilingual in English and French (Creole a plus).
Excellent organizational, time management, and multitasking skills.
Proficient in Microsoft Office Suite, Google Workspace, and project management tools.
Strong interpersonal skills and ability to work with diverse stakeholders.
Demonstrated discretion, reliability, and initiative in a dynamic environment.
